SAP License Audit Red Flags

SAP License audit is a Yearly Ritual which has to be performed by all the SAP customers. This will enable SAP to review the SAP License Compliance by their customer. This way SAP can determine if customer is using the required SAP Licenses or need to buy more SAP License. If you are an Internal Auditor for a Company which is using SAP ECC System you may want to look for following Red flags which could catch you off guard and cost the company increased SAP Licensing fees and penalty

Multiple Logon Parameters:

When this parameter is enabled the same SAP user id can be used by multiple people. This is violation of SAP licensing policy and can attract severe penalty. This parameter should be disabled so it will prevent users from logging on with the same id.

Excessive Substitutive SAP License Users:

This type of SAP License classification should be used if the employee is on a temporary absence. You should not have excessive number of users in the SAP License Category.

“ Can only be created in the SAP system for a limited period of time (such as for vacation representation). During this time, this user can use the functions of another user as a substitute. This other user must not be active in the SAP system during this time. Substitutes and substituted users must be created in the same client. Since the other user is already evaluated in accordance with its assignment, its substitute is free-of-charge. “

Excessive: Service Users:

This type of user are typically used for testing purposes and they are non-dialog users

Test SAP License Type:  Test Users: This type of SAP License Type used when you do not have a SAP ECC system for testing. Excessive use of this type of SAP User iD type could also create red flags in SAP License Audit

Can only be created in production systems in the following exceptional cases:  There are no test systems available. The user is being used exclusively to prepare the production use of modules that are not yet productive in the production system.
